How to Edit a PDF for Free (What You Can and Cannot Change)
A realistic guide to editing PDFs without paid software: adding text, covering mistakes, converting to Word and when to go back to the source.
PDF was designed to look the same everywhere, which is why changing existing text is harder than in a word processor. Here is what is realistic with free tools.
Easy edits
- Add text, such as filling in a form: use Edit PDF and click where the text should go.
- Highlight or draw attention to a passage.
- Cover a mistake with a white box and type the correction over it.
- Delete or reorder pages with Delete PDF pages and Reorder PDF pages.
Harder edits
Rewriting a paragraph in place requires a full PDF editor, because the text is stored as positioned glyphs rather than flowing paragraphs. If you have the original Word or design file, change it there and export a new PDF. That gives the cleanest result.
Extracting text to rework it
For a text-based PDF, PDF to Word pulls the content into an editable .docx. Layout will not match exactly, but it is a fast route to reuse the wording.
A warning about hiding information
A white or black box drawn over text does not remove the text. Anyone can still select and copy it from the file. If something must be removed, delete the entire page.
Scanned PDFs
If you cannot select any text in a PDF, it is an image. Editing the words requires OCR software first.
